Info

Workshops are not included in the Virtual Conference fee. They are optional add-ons to your overall conference experience.

Workshops are not mandatory.

You can pay for and book a Workshop only after you have registered and paid for the Virtual Conference fee.

All fees include an Electronic Certificate of Participation. It carries the same validity as the physical one, only with less paper waste.

You will receive an individual Certificate of Participation for taking part in the Virtual Conferences and one for each workshop (virtual and in-person) that you pay for and book, subject to meeting the below criteria. (eg. If you attend the virtual conference and also pay for a workshop you will receive a Certificate of Participation for the Virtual Conferences and a different one for the Workshop)

All presenting authors will receive a separate MEDICS Certificate for delivering their oral or pitch presentations subject to meeting the below criteria.

You will receive the MEDICS Certificate only if you meet all the participation criteria:

Virtual Conferences (for all attendees)

  1. you must have filled the Feedback Form available in your personal account at the end of the conference in no more than 1 month;
  2. although we have no minimum requirements for the number of virtual events (live virtual conferences/online oral presentations/pitch presentations) you should attend to receive your certificate we strongly encourage you to engage in as many as possible. If you miss any of them don’t despair- you can find them recorded in your personal account for another 10 days after the end of the conference.

For Presenting Authors’ Certificate:

  1. you must have attended the Oral Presentations and/or sent your pre-recorded Pitch presentation before the deadline for pitches (5 April 2021).
  2. you must have filled the Feedback Form available in your personal account at the end of the conference in no more than 1 month.

Workshops Electronic Certificate of Participation (this applies to all attendees to virtual and in-person workshops)

  1. you must have attended the all the workshops you have paid for and booked.
  2. you must have filled the Feedback Form available in your personal account at the end of the conference in no more than 1 month.
  3. Meeting the criteria for receiving a Certificate of Participation in a Workshop is independent of the ones for receiving your Certificate of Participation in the Virtual Conferences or for your Presentations (oral or pitches)

 

If you fail to fill in the feedback form during the one-month timeframe, you will not be allowed to do it afterwards and you will not receive any Certificate of Participation. Your Certificate of Participation will be stored 5 months after the end of the conference. NO certificate-related requests will be taken into consideration after this 5 month period.

Since last year we have stopped offering hard copies of the Certificate of Participation in our quest to become a carbon-neutral conference.

In addition, hard copies of the Certificate of Participation would pose an increased risk of spreading SARS-CoV2 directly by sending it to you and also indirectly to our volunteers who would need to physically process them.

If you plan to submit an Abstract, you have two payment options:

Pay the Presenting Author Fee before the Abstract Submission Deadline (15 March 2021)

1. In this case, you pay the Presenting Author Fee (15 EUR ) first. This gives you access to all the virtual conferences, online oral and pitch presentations. If you wish you will only then be able to add a workshop to your virtual experience by paying one of the corresponding fees for a virtual or in-person workshop.  Please notice that no workshops are included in the Virtual Conference fee. If you want to add a workshop (in-person or virtual) to your virtual conference experience you need to pay for and book it individually only after you pay the presenting author fee.

By paying the Presenting Author Fee before the Abstract Submission Deadline, you assume full responsibility for submitting an abstract before 15 March 2021 (23:59 GMT +2). Please note that if you fail to submit an abstract, any Workshop booking gets cancelled, your account becomes inactive and you do not get a refund.

If your abstract did not get accepted, you may still attend the conference as a Passive Participant without doing anything else. If you do not wish to attend the Virtual Conference any more you can ask for a refund of your Virtual Conference fee and/or any workshop fee before the refund deadline- 9 April 2021 subject to our Terms&Conditions.

OR

Pay the Presenting Author or the Virtual Conference Regular Fee after the Abstract Submission Deadline (15 March 2021), but before the General Payment Deadline (9 April 2021)

2. Please note that you don’t have to pay the Presenting Author Fee to submit an abstract. If you submit an abstract, you can postpone the payment until after we announce the list of accepted abstracts, but you won’t be able to pay and add any virtual or in-person workshop to your Virtual Conference experience. If your abstract gets accepted, you have to pay the Presenting Author Fee (15 EUR) before 9 April 2020 (23:59 GMT +2). If your abstract doesn’t get accepted, but you still want to take part in MEDICS you have to pay the Virtual Conference Regular Fee (15 EUR) before 9 April 2021 (23:59 GMT +2). IF you paid the Virtual Conference fee but you no longer want to take part in MEDICS 2021

THEN you can get a full refund minus the handling fee of 5 EUR if you send us a request before 9 April 2021.

To send us a request you need to log in, go to the Refund centre tab in your account and complete the form with all the needed details.

IF you paid the Virtual Conference fee and also paid for and booked one or more Workshops, but you no longer want to take part in MEDICS 2021

THEN you can get a full refund of all of your fees minus the handling fee of 5 EUR (in total) if you send us a request before 9 April 2021.

To send us a request you need to log in, go to the Refund centre tab in your account and complete the form with all the needed details.

PLEASE NOTICE THAT IF YOU WANT A REFUND OF  YOUR VIRTUAL CONFERENCE FEE YOU WILL NOT BE ABLE TO ATTEND ANY OF THE WORKSHOPS YOU PREVIOUSLY BOOKED FOR AND PAID. THESE WILL BE ALSO REFUNDED TOGETHER WITH THE VIRTUAL CONFERENCE FEE.

NO refund will be given if times/title/theme of a conference will change.

NO refund will be offered if one or more of the virtual conferences will be cancelled due to a speaker unplanned unavailability.

NO refund will be offered in case one of the live virtual conferences cannot take place due to technical difficulties encountered by the speaker or due to our platform.

We cannot offer a refund if due to technical difficulties of your own you would not be able to attend a part or all of the Live Virtual Conference. Minimum system requirements will be announced closer to the conference. We strongly encourage you to test your system before the conference. If you encounter any difficulties on the day of the Conference you can also watch all the recorded events from your personal account up to 10 days post-conference.

NO refund will be given after the refund deadline (9 April 2021) if you do not have the technical means (computer/internet connection etc) to participate in MEDICS 2021.

IF none of the live virtual events can take place due to technical difficulties encountered with the streaming platform (of our own fault)

THEN you will receive a full refund of your Virtual Conference fee. In this case, we will contact you for the refund in no more than 10 days.

IF you paid for and booked a Workshop (virtual or in-person) but you no longer want to take part in it

THEN you can get a full refund if you send us a request before 9 April 2021.

To send us a request you need to log in, go to the Refund centre tab in your account and complete the form with all the needed details.

We cannot offer a refund if due to technical difficulties of your own you would not be able to attend your Virtual Workshop. Minimum system requirements will be announced closer to the conference. We strongly encourage you to test your system before the conference.

NO refund will be given after the refund deadline (9 April 2021) if you do not have the appropriate technical means (computer/internet connection etc) to participate in your MEDICS 2021 Virtual Workshop.

IF you booked an In-person Workshop and it got cancelled because of the MEDICS 2021 organising team (changes in location, timetable or trainer are NOT included)

THEN you can choose one of the available places at another In-person or Virtual Workshop

OR you can get a refund of the Workshop Fee only.

To receive a refund, you have to log in, go to the Refund centre tab in your account and complete the form with all the needed details.

If you choose to take part in another Workshop no refunds will be offered. If the workshop you choose as a replacement has a higher fee than the cancelled workshop this will be supported by us.

IF you booked a Virtual Workshop and it got cancelled because of the MEDICS 2021 organising team (changes in location, timetable or trainer are NOT included)

THEN you can choose one of the available places at another Virtual Workshop

OR you can get a refund of the Workshop Fee only.

If you choose to take part in another Virtual Workshop no refunds will be offered. Due to COVID-19 safety reasons, you would not be able to choose an in-person workshop if your virtual workshop gets cancelled at short notice.

IF the online oral presentation session cannot take place due to technical difficulties encountered with the streaming platform (of our own fault)

THEN you will receive a full refund of your Presenting Author fee. In this case, we will contact you for the refund in no more than 10 days.

Please notice that if you ask for a refund of your Presenting Author Fee your abstract will no longer appear in the Electronic Abstract book and you will no longer be able yo take part in the Oral or Pitch Presentation competition.
